WorkFlows: START HERE

1. Printer: Change the default printer to the Citizen printer:
     File | Print Setup | Print to a printer | Citizen Printer 

2. Access WorkFlows through the start menu in the bottom left corner of the screen.  

  • Log in:  User ID: [Your Ivy Tech email address]   Password: [Your Ivy Tech Password]

First-time users:

Configuration WindowThe first time you open WorkFlows, you will need to configure the following settings:

  • IP Address: ivytech.sirsi.net
  • Port: 7614
  • Login Timeout: If you have trouble with the login timing out before you get connected, try increasing this number.

Books and DVDs

CHARGING (CHECKING OUT)

  • Click on the PATRON icon.
  • Ask the person his or her name or C#.  Enter the information in the appropriate locations.  Verbally verify the address and phone number.
  • Click on the CHARGE icon. Use the barcode scanner to enter the item’s barcode number or type the item’s barcode number into the Item Barcode field and hit enter.  A due date slip should print for each item.  Place the slip inside the item.

DISCHARGING (CHECKING BOOKS IN)

  • If not already logged in, log into the circulation system using sbws for username and password.
  • Examine the returned item for damage. 
  • Click on the discharge icon.
  • Scan or type in the item barcode.
  • Press the enter key.

Headphones

FOR STUDENTS

  • Headphones are located under the library assistant desk or in the bottom of the DVD cabinet.
  • Check them out just as you would a book.  Place the receipt in the bag and put the bag back into the drawer.
  • Check the headphones back in just as you would a book.  Be sure to click on PATRON RECORD to see that it has been removed from the students' account.  Find the bag, replace the headphones, remove the receipt, and return to the drawer.

FOR JITA USERS

  • Headphones are located in the box on the shelf below the JITA folder.  To borrow a pair of headphones, the person must give you their ID; place the ID in the bag.

Magazines and Newspapers, Error Messages, Adding Patron Records, etc

These procedures should be executed by a Library Assistant or Librarian.

Reserves

Reserves with a Barcode

Use this barcode on blue cards inside the book to check it out.

These items can be charged and discharged like other library items. 

The checkout period is usually two hours with the option to renew if no one else has asked for it. 

- Remind the student that Reserve items cannot leave the Library.

Keep the blue card, the receipt slip, and the patron’s photo ID together in the reserve cabinet during checkout period.

Reserves without a Barcode

If the reserve does not have a barcode, attach the ID to the card and put it in the cabinet until the item is returned.
